Campus Student Employment - Forms & Paperwork

New students are required to complete federal and state tax forms and present an original photo ID and Social Security card (or other acceptable document) within THREE DAYS of the beginning of employment. New students should contact Nell Schroer regarding their paperwork.

Federal & State Tax Forms

All tax forms are available in the Campus Student Employment office.

 

Instructions for Completing the Federal I-9 Form (Employment Eligibility Verification Form)

This form is required for all students who intend to work on campus and who have not worked at Sweet Briar College previously. Return the completed form, along with original required attachments and other required payroll forms (the W-4 Form, Virginia Form VA-4), to Campus Student Employment in the Career Services Center. The I-9 Form for international students should be completed by the student and the Dean of Academic Advising's Office based on the student's I-20 and I-94 forms.

The U.S. Citizenship & Immigration Services or the Department of Homeland Security has issued specific regulations for the verification of employment eligibility.

"Employees must present to you an original document or documents that establish identity and employment eligibility within 3 business days of the date employment begins."

PLEASE BRING YOUR ORIGINAL DOCUMENTS WITH YOU TO CAMPUS IF YOU PLAN TO PARTICIPATE IN CAMPUS STUDENT EMPLOYMENT.

 

Instructions for Completing the Federal W-4 Form and Virginia VA-4 Form

The Tax Reform Act of 1986 changed the federal tax code, and very few students can claim an exemption from the withholding requirements. If you can be claimed as a dependent on another person's tax return (for example, your parent's return), you may not be exempt. Also, you cannot be exempt if you have any non-wage income, such as interest on savings, and expect your wages plus non-wage income to add up to more than $950.

Please review the instructions on the forms and complete all items.

These forms are required for all students who intend to work on campus and did not complete the forms at Sweet Briar College during the previous school year. Return the complete forms along with other required payroll forms (the I-9 form) to the Coordinator of Campus Student Employment, in Career Services.

 

Federal W-2 & Tax Statements

In accordance with Federal Law, Form W-2 & Tax Statement will be mailed every year to each individual's permanent mailing address by January 31 of the next calendar year.
